Helcim in an Architecture and Engineering Firm: When a $100,000 Professional Is Still Chasing a $12,000 Invoice

Architecture and engineering firms sell something that is deceptively difficult to measure: highly trained people’s time applied to complicated projects.

A small firm may have two principals, several architects or engineers, a couple of designers or technicians, a project coordinator and somebody handling office administration and billing. One week the team is reviewing drawings for a commercial renovation; the next it is responding to contractor questions, revising a set after a client changes direction and trying to get another project through permitting. Projects can last months or years, which means the money rarely behaves like ordinary retail. Clients may receive deposits, progress invoices, recurring professional-service bills or larger milestone payments as work advances.

That is where Helcim becomes relevant, but not for the reason somebody running a coffee shop would care about it.

Helcim currently offers online invoicing, ACH bank payments, recurring billing and a Virtual Terminal. ACH can be enabled on invoices, payment requests, recurring plans and Virtual Terminal transactions, while Helcim’s invoicing product lets a business send a client a payment link rather than requiring the client to be physically present.

For an architecture or engineering practice, the real question is whether those tools can help keep highly paid technical staff away from accounts-receivable work.

An architect’s time is too expensive to waste on payment archaeology

Architects had a median annual wage of $96,690 in May 2024, according to the Bureau of Labor Statistics.

That is roughly $46.50 per hour when annual pay is mechanically divided across a 2,080-hour year, but that number substantially understates the commercial value of an architect’s productive hour inside a private firm. The client billing rate may need to cover salary, benefits, office rent, professional liability insurance, software licenses, nonbillable time, support staff and profit.

A senior architect who costs the company $50 or $60 per payroll hour might be billed externally at two or three times that figure depending on the market and role.

This makes administrative distraction expensive.

Imagine a principal finishing a design review when an office employee asks whether a client actually paid the second project invoice. The principal remembers a conversation with the client, opens email, finds an old thread and spends fifteen minutes figuring out whether the client promised a payment or actually made one.

Nothing catastrophic happened.

But the firm has just converted fifteen minutes of high-value professional capacity into accounts-receivable research.

That is exactly the type of work a good billing process should prevent from moving upward.

Civil engineering makes the same point even more clearly

Civil engineers had a $99,590 median annual wage in May 2024, according to BLS.

Civil engineering technicians were at $64,200, while architectural and engineering managers had a much higher median of $167,740.

That gives a small engineering firm a very visible labor hierarchy.

A technician may prepare drawings, collect information or support technical work.

An engineer signs off on increasingly complex decisions.

A manager or principal coordinates projects, people, client expectations and business risk.

The whole organization works better when routine billing questions are resolved before they reach the $168,000 management layer.

Suppose a project manager earning around that BLS median spends just two hours each month dealing with invoices, missing payment information and basic collection questions that could have been handled administratively. That becomes 24 hours a year of management time.

At a crude wage-equivalent rate, that is nearly $1,900 of salary time before benefits.

At the firm’s external billing rate, the opportunity cost may be considerably higher.

That is why “easy invoicing” becomes a labor question rather than a cosmetic software feature.

Professional firms do not receive money in one clean transaction

An architecture project may begin with an initial payment.

Then there may be schematic design.

Design development.

Construction documents.

Permitting.

Construction administration.

Additional services.

The financial relationship can therefore continue for months.

Engineering engagements can look similar. Some are fixed-fee projects. Others are billed hourly. Others involve monthly progress invoices or retainers.

This means the client payment is attached to a continuing professional relationship rather than a single isolated purchase.

One client may have four open or historical invoices.

Another may be paying monthly.

A third may make a partial payment.

The business needs to know not only that $8,500 arrived, but which stage of which engagement that $8,500 belongs to.

This is where invoicing software can either preserve context or destroy it.

Helcim’s current U.S. ACH pricing is 0.5% plus $0.25, capped at $6 for amounts below $25,000, with an additional 0.05% applied above the threshold.

Consider a $15,000 professional-services invoice.

Under that pricing structure, the ACH charge reaches the $6 cap.

A card transaction for $15,000 is percentage-based, so its processing cost can easily be measured in hundreds of dollars depending on the card and transaction circumstances.

The difference is not theoretical.

An architecture firm invoicing commercial clients may send several large bills every month. If clients are comfortable paying by ACH, the processing economics can become dramatically different from a firm that puts everything on cards.

This does not mean the business should refuse cards.

Clients may prefer them.

Some may value rewards or working-capital flexibility.

But a serious professional-services business should know what convenience costs.

The owner should not discover at year end that thousands of dollars were spent processing five-figure invoices by card simply because nobody ever offered the accounts-payable department an ACH option.

The client’s accounts-payable person may actually prefer bank payments

There is another reason ACH fits this industry.

The person paying the invoice may not be the person who hired the architect.

A project manager at the client company approves the work.

Then the invoice travels to accounting.

The accounts-payable employee may already be paying dozens of vendors through bank-based methods.

For that person, ACH is not unusual.

It is routine business administration.

Helcim’s ACH product allows payment directly from customer checking or savings accounts and works across invoicing, payment requests, recurring billing and the Virtual Terminal.

This is a completely different customer than the person buying something at a retail counter.

There is no emotional attachment to tapping a card.

The accounts-payable department wants a clean invoice, an approved amount and a payment method compatible with company procedures.

That is why B2B professional services are one of the places where bank payments can feel more natural than cards.

The project coordinator is often the invisible glue

Architecture and engineering firms frequently have people who are not architects or engineers but make the professional work possible.

Project coordinators and administrative employees may organize meetings, track documents, prepare submissions, deal with clients and help maintain project records.

These employees are less expensive than senior technical professionals, but their time still has value, and their workload is often fragmented enough already.

Payment questions become one more source of interruption.

A client asks for the invoice again.

Another says the billing contact has changed.

Someone wants the firm’s banking/payment instructions.

Another claims the amount does not match what the project manager approved.

The coordinator may spend ten minutes resolving each issue before the invoice even becomes a finance problem.

This is why the structure of the invoice matters.

Helcim’s invoicing product is designed to send online invoices with direct payment options rather than requiring every customer to call the business for instructions.

That does not eliminate billing disputes.

Nothing does.

But it can reduce purely mechanical questions around how to complete a payment.

The bookkeeper receives the project after the creative people are finished with it

The architect sees design.

The engineer sees calculations.

The bookkeeper sees receivables.

That difference in perspective is huge.

A client paid $12,000.

Good.

But which invoice did they pay?

Was there a previous deposit?

What processing fee came off?

The payment processor does not answer all of those questions. Helcim itself explicitly notes that it is not accounting software and that businesses still need accounting products such as Xero or QuickBooks for actual accounting functionality.

That is an important limitation rather than a weakness.

The architecture firm should not expect Helcim to become its project accounting system.

It should expect Helcim to collect the payment and leave a sufficiently understandable transaction trail that the accounting system can do the rest.

Those boundaries matter.

Recurring billing can fit retainers and ongoing advisory work

Not every architecture or engineering engagement is billed only at milestones.

Some firms provide ongoing consulting.

A developer may retain an engineering company for repeated support.

A property owner may have a continuing advisory arrangement.

Another client receives essentially the same professional-services bill every month.

Helcim’s recurring-payments product is specifically designed for businesses repeatedly billing the same clients and can automatically process scheduled payments.

The financial benefit is obvious.

The administrative benefit may be larger.

Without automation, somebody creates the invoice.

Sends it.

Checks it.

Payment software therefore does not need to save dramatic amounts of cash to become useful. It may be enough to protect additional billable capacity.

Suppose five architects each lose twenty minutes per week to payment-related administrative questions.

That sounds trivial.

Across the group, it is 100 minutes per week.

Across fifty working weeks, that is more than 83 hours annually.

Using the BLS architect median of $96,690, those 83 hours represent roughly $3,850 in wage-equivalent professional time.

At client billing rates, the opportunity cost can be much greater.

Again, Helcim cannot magically recover all of those hours. The calculation shows why the firm’s billing process deserves attention.

The principal has an even more expensive reason to stay out of accounts receivable

Architectural and engineering managers had a $167,740 median annual wage in May 2024.

In a small partnership, the principal may effectively occupy that management role while also being an owner.

Their time needs to go toward winning work, reviewing major decisions, keeping projects healthy and maintaining client relationships.

Collections are sometimes part of that relationship. A principal may need to call a client whose invoice is seriously overdue.

That is appropriate.

What is not appropriate is the principal repeatedly handling ordinary questions such as:

“Where is the payment link?”

“Do you accept ACH?”

“Can you resend Invoice 273?”

Those should die at the administrative level.

The distinction is between collections judgment and payment mechanics.

Senior professionals may need to own the first.

Software and administrative staff should handle most of the second.

The Virtual Terminal belongs to the client who refuses to use the invoice link

Professional offices still receive this phone call.

“I have the card here. Can you just take it?”

Helcim’s Virtual Terminal lets a business use a computer, tablet or phone as a payment interface for remote transactions.

This does not sound particularly important until the client is already on the phone.

The office employee could tell them to find an invoice email, open the link and complete payment themselves.

Or the employee can use a defined remote-payment procedure and finish the transaction.

The purpose of the Virtual Terminal is not technological novelty.

It is reducing improvisation.

Professional firms contain plenty of unusual work.

Basic payment collection should not be one of those unusual things.

ACH is cheaper, but slower — and professional firms can usually live with that

Helcim currently says ACH setup and movement generally take several business days rather than behaving like an instantly authorized card transaction. After authorization, Helcim describes withdrawals commonly taking several business days, with deposits following after processing.

That matters.

A $6 ACH fee looks great, but ACH is not simply “credit card processing for six dollars.”

The timing is different.

For an architecture or engineering company, that may be perfectly acceptable because commercial invoices often operate on net terms anyway.

If the client owes $20,000 under agreed payment terms, nobody necessarily requires instantaneous consumer-style settlement.

A restaurant needs to know the customer’s card is approved before they leave.

An engineering firm often already expects receivables to move more slowly.

That makes the ACH tradeoff easier to accept.

Industry structure determines whether a payment method is actually convenient.

Firm size determines whether any of this is worth optimizing

Consider two architecture businesses.

The first is a solo architect.

Five active clients.

A few invoices per month.

Existing payment procedure works fine.

They may gain almost nothing from rebuilding the process around Helcim. The amount of administrative friction is too small to justify a project.

Now consider a 25-person design firm.

Several project managers.

Dozens of active engagements.

Hundreds of invoices annually.

Dedicated administrative and bookkeeping labor.

Million-dollar-plus annual receivables.

The economics change completely.

Small inefficiencies become repeatable systems.

A tenth of a percentage point in processing cost scales.

One hour of unnecessary project-manager billing work becomes dozens of hours across the organization.

That is when payment infrastructure deserves management attention.

Helcim becomes more interesting as complexity and volume create enough room for its invoicing, ACH and recurring-payment capabilities to produce actual value.

The payment system should know its place

This is important in a technical professional firm.

Helcim should not become the center of the company.

The project-management platform should manage projects.

Accounting software should handle accounting.

The architects and engineers should live primarily in the tools they use for actual professional work.

The payment processor should occupy the narrow space between:

we billed the client

and

we received the money.

If Helcim makes that journey cheaper and requires less employee intervention, good.

If employees have to maintain another parallel set of records and constantly explain it to accounting, the processor has simply created another administrative silo.

Helcim’s own documentation makes clear that it expects businesses to pair its payment capabilities with actual accounting software rather than treating Helcim as a replacement for it.

That is the correct architecture.

The real cost comparison has three lines, not one

An architecture or engineering firm evaluating Helcim should calculate at least three types of cost.

First is processing expense. What does the firm’s real mix of cards and ACH cost over twelve months?

Second is administrative labor. How much time do staff spend creating, sending, checking, tracing and reconciling payments?

Third is professional interruption. How often do billing questions reach architects, engineers or managers who are supposed to be working on projects?

The third number is the one most companies barely measure.

Yet it can be the most expensive.

Architects have a $96,690 median wage. Civil engineers are at $99,590. Architectural and engineering managers are at $167,740.

These are not cheap employees.

A payment process that regularly consumes their time needs to justify itself.

Helcim makes the most sense when the invoices are large and the professionals are busy

That is ultimately the strongest case.

A growing design or engineering firm has valuable technical staff whose time is already scarce. Clients receive substantial professional-service invoices. Many of those clients are businesses perfectly comfortable paying through ACH. Administrative employees handle billing and need a remote-payment option for the occasional client who wants to call instead. Accounting still lives somewhere else, as it should.

The benefit is not that architects suddenly have better payment technology.

The benefit is that architects hopefully have to think about payments less.

An architect should be resolving a building problem.

An engineer should be checking whether the design works.

A project manager should be keeping expensive work on schedule.

The administrator should be able to answer a routine payment question.

The bookkeeper should be able to understand what reached the bank.

And a client paying a $15,000 invoice should have a reasonable alternative to putting the entire thing on a credit card.

That is where Helcim has a coherent role.

Not as another business dashboard demanding attention.

As infrastructure that keeps financial administration away from the people whose hours are too expensive to waste on it.
